Legal Secretary
Job Description
We are seeking an experienced Legal Secretary to join a leading international law and professional services firm in Dubai. The firm operates across multiple jurisdictions and advises global corporations, financial institutions, capital market participants, and investment fund managers.
This role focuses on providing high-level legal secretarial and administrative support to senior lawyers and partners within a structured, professional environment. The successful candidate will play a key role in ensuring seamless workflow and exceptional client service in a fast-paced setting.
Requirements:
1. Minimum 3 years’ legal secretarial experience within a law firm or professional services environment
2. Strong understanding of legal terminology, procedures, and documentation
3. Experience supporting senior lawyers/partners
4. Proficiency in Microsoft Office and legal document management systems
5. Highly organised with exceptional attention to detail
6. Professional, discreet, and client-focused
7. Calm under pressure with the ability to manage competing priorities
Responsibilities Duties:
Key Responsibilities:
1. Prepare and assist with drafting standard and complex legal documents
2. Support company formation documentation and regulatory submissions
3. Assist with fund registrations, terminations, and voluntary liquidations
4. Liaise with government authorities, registered offices, and regulatory bodies
5. Support KYC processes and liaise with internal Compliance teams
6. Manage apostille and legalisation processes for corporate documents
7. Prepare billing narratives, assist with collections, and coordinate with Accounts
8. Open, close, and archive files using practice management systems
9. Maintain diaries, arrange meetings, prepare agendas, and manage logistics
10. Maintain accurate records and client correspondence
11. Provide team support and holiday cover when required
12. Occasionally work outside standard hours when business needs require
