Legal Secretary
Job Description
We are seeking an experienced Legal Secretary to join the Abu Dhabi office of a leading international law firm.
Qualifications
1. At least 3-5 years' experience as a Legal Secretary within an international or reputable law firm.
2. Experience supporting senior lawyers in a busy legal practice.
3. Previous exposure to corporate, finance, transactional or other commercial practice areas would be advantageous.
4. Strong experience managing complex legal billing, including time recording, pre-bill reviews and billing coordination.
5. Excellent legal document production, formatting and proofreading skills.
6. Experience using legal applications and document management systems such as iManage, Elite 3E, Aderant, Intapp, Chrome River or similar.
7. Advanced Microsoft Office skills, particularly Word, Outlook, Excel and PowerPoint.
8. Excellent organisational, communication and client service skills, with the ability to manage multiple priorities and deadlines.
9. Professional, proactive and highly organised, with exceptional attention to detail and the ability to maintain strict confidentiality.
Responsibilities Duties:
This is an excellent opportunity to provide high-level legal and administrative support to senior legal professionals within a fast-paced, transactional practice. The successful candidate will be responsible for delivering exceptional secretarial support, managing complex billing processes, producing high-quality legal documentation and ensuring the smooth day-to-day operation of a busy legal team.
Responsibilities:
1. Provide comprehensive legal secretarial and administrative support to senior lawyers.
2. Manage busy and ever-changing diaries, meetings, conference calls and domestic and international travel arrangements.
3. Draft, amend, format and proofread legal documents, correspondence, reports and presentations to a high standard.
4. Coordinate client onboarding, conflict checks, matter openings and matter closures.
5. Manage complex legal billing, including time entry, pre-bill reviews, narrative amendments and coordination with the Finance team.
6. Organise client meetings, prepare meeting materials and assist with event coordination where required.
7. Maintain electronic and physical filing systems, legal records and document management processes.
8. Coordinate document production, courier services and other administrative support with internal business services teams.
9. Maintain client information and handle confidential matters with the highest level of professionalism and discretion.
10. Provide proactive support across the legal team and assist with additional administrative responsibilities as required.
