Job Description

The Mobilisation Coordinator provides administrative and coordination support overseeing all workforce mobilisation activities for the Project. This role ensures that all personnel meet the required pre-mobilisation, legal, and site access requirements prior to arrival on site.
Education and Experience Requirements:
• Experience in mobilisation, onboarding, training coordination, or workforce services roles on major construction projects
• Experience working with contractor workforce forecasts and mobilisation planning
• Experience with workforce systems, databases, or mobilisation tracking tools
• Experience managing documentation, compliance checks

Required Knowledge and Skills:
• Strong administrative background with high attention to detail
• Proficient in Microsoft 365
• Proficient in using Copilot and other AI tools
• Good communication and coordination skills
• Familiarity with Saudi Arabian labour and site access requirements (e.g. Iqama, Ajeer, work permits)
 

Responsibilities Duties:

• Coordinating all mobilisation activities in line with Project requirements and contractor workforce forecasts.
• Reviewing and verifying workforce mobilisation documentation.
• Monitoring and following up on incomplete, missing, or non-compliant documentation.
• Monitor mobilisation status and follow up outstanding requirements.
• Ensuring all pre-mobilisation requirements are met prior to scheduling the Project Orientation.
• Coordinating with ES&H teams to schedule and confirm attendance at mandatory Project orientations.
• Coordinating with Security teams for workforce badging and access control.
• Managing orientation bookings and maintaining accurate records of attendance and completion.
• Reporting confirmed orientation schedules and attendance status to relevant stakeholders. Tracking mobilisation status against contractor-submitted workforce forecasts and schedules.
• Maintaining accurate mobilisation records, registers, and databases.
• Preparing daily, weekly, and monthly reports on mobilisation status and workforce numbers.
• Validating contractor-submitted workforce data, including headcounts and mobilisation timelines.
• Supporting audits and compliance checks related to workforce mobilisation and orientation.
• Coordinating between Contractors, Workforce Services, Security, ES&H, and other Project functions.
• Identifying and escalating risks or delays that may impact mobilisation schedules.
• Supporting continuous improvement of mobilisation processes, systems, and reporting.
